Airtable or Supabase: when does your data need a real database?
Airtable is a good place to start. Supabase is where data goes when it has to carry the business. The move is predictable if you know the signs.
In short
Stay on Airtable while a team of people edits the data by hand and the volume fits comfortably in your plan. Move the data to Supabase, a hosted Postgres database, when records grow into the hundreds of thousands, outside users need access, other systems write to it constantly, or permissions must be enforced row by row. The team can keep a familiar front end on top.
-
Airtable
Best for Teams editing structured data by hand, with views and simple automations.
- Anyone can change fields and views
- Fast to set up
- Good interfaces for small teams
- Plan limits on records and automation runs
- API rate limits for heavy syncs
- Row-level permissions are limited
-
Supabase
Best for Data that systems write to constantly, with many or outside users and strict permissions.
- Postgres: proven, standard and portable
- Row-level security for every user
- Scales to large volumes and many integrations
- Needs an engineer to change the schema
- You need a front end: custom, Retool or a portal tool
- Backups and access must be set up properly

How to choose
Pick by the situation, not the brand.

Questions
How does a move from Airtable to Supabase work?
We design the Postgres schema from your bases, migrate the data with its links, run both in parallel with a sync while the new front end is tested, then switch over in one step with Airtable kept read-only as a fallback.
Does the team lose the spreadsheet feel?
Not necessarily. A low-code front end such as Softr, Noloco or Retool, or a custom interface, can sit on Supabase and keep editing familiar.
What does it cost?
Moves are scoped in a $500 Automation Audit credited to the build. Internal tools start at $3,000 and multi-module systems at $5,000.
