AI voice agents

Voice agents that answer the phone and do the work behind the call.

We build AI agents that take inbound calls, call new enquiries back and handle bookings, working inside your calendar, CRM and order system. Every call is written up, and anything the agent cannot handle goes to a person.

In short

In short

An AI voice agent answers or makes calls in a natural voice and takes actions in your systems while it talks: booking appointments, qualifying leads, checking orders. SBD builds them on platforms such as Retell, ElevenLabs and LiveKit, connected to your calendar, CRM and helpdesk, with an AI disclosure, a hand-over to a person, and every call logged in accounts you own. Running costs are usually $0.06 to $0.20 a minute.

Where it usually starts

  • Calls ring out at lunch, after six and at weekends, and those callers book somewhere else.
  • Reception spends the morning on the same five questions about hours, prices and parking.
  • New enquiries wait a day for a call back, by which time they have spoken to a competitor.
  • No-shows are chased by hand, or not at all.
  • Callers in another language get passed around or give up.
  • Nobody can say how many calls were missed last month, or why people rang.

Use cases

The calls a voice agent can take off your team.

Most clients start with one call type, usually the most frequent or the one that happens out of hours, and add more once the transcripts show it working.

How one call works

Six steps run every time a caller speaks.

They repeat for each turn of the conversation. Each one is a part we choose, configure and test.

  1. 01 Phone or browser

The call arrives on a number we set up, your existing line, a WhatsApp number or a button on your site.

  2. 02 Speech to text

What the caller says is transcribed as they speak. A turn detector listens for when they have actually finished, so the agent does not cut in.

    Deepgram ElevenLabs
  3. 03 The model decides

A fast language model reads the transcript, your rules and your knowledge, and decides what to say or which tool to use.

    Google Gemini
  4. 04 Tools act

Checks the calendar, looks up the order, writes the CRM record. The agent only says it is done once the system confirms it.

  5. 05 Voice replies

The answer is spoken back in the voice you chose, and the caller can interrupt at any point.

    ElevenLabs
  6. 06 Logged and scored

Transcript, recording where allowed, actions and outcome are saved and checked against your criteria.

Architecture

Cascaded: speech to text, model, voice

Best forMost business calls. It is our default.

  • Use any language model, including Claude
  • A written transcript of every turn for review and compliance
  • Swap the transcription, model or voice on its own
  • Cost controlled part by part
  • Three hops add some delay, so each part has to be fast

Architecture

Speech to speech: one realtime model

Best forConversations where sounding natural matters more than control, or many languages on one line.

  • Hears tone and interruptions directly
  • Fewer moving parts
  • The newest models reason and call tools
  • OpenAI’s flagship runs at roughly $0.35 to $0.45 a minute all-in
  • Fewer choices of voice and model
  • Harder to audit turn by turn

Platforms

The platforms we choose between, and when.

Platform fees have fallen to 3 to 8 cents a minute, so the model and the voice now set most of the bill. The choice comes down to your phone system, languages, data location and volume. Published rates, checked 30 October 2026.

PlatformPublished priceWhere it fits
R Retell AI $0.055 a minute plus voice and model; its own example comes to about $0.11 Most small-business phone lines. Call QA is built in, and a HIPAA agreement comes with the Enterprise plan.
V Vapi $0.05 a minute plus each provider at cost Builds that need every component chosen separately. HIPAA is a $2,000 a month add-on, which is a lot for a small clinic.
ElevenLabs ElevenLabs Agents $0.08 a minute for the voice layer, plus model and phone Voice quality, many languages and a WhatsApp channel. ElevenLabs states US, EU and India data residency. Our live demos run on it.
T Telnyx Voice AI $0.05 a minute with transcription and voice included; about $0.06 all-in in the US The lowest cost US lines, on Telnyx’s own carrier network. Billed in 60-second steps, which adds up on short calls.
Deepgram Deepgram Voice Agent $0.075 a minute bundled; less with your own model and voice An EU endpoint and self-hosted containers, for clients whose data has to stay in one place.
C Cartesia $0.03 a minute plus the model A low platform fee and strong European-language voices. On-premises deployment through their sales team.
B Bland AI $0.12 to $0.14 a minute bundled, phone billed separately Simple bundled pricing for outbound calling. Lower plans cap calls per day.
L LiveKit Agents or Pipecat Open source: you pay for hosting and each component Existing phone systems such as 3CX or Microsoft Teams, data residency, Indian-language transcription, or volumes where a per-minute platform fee costs more than running it yourself.

Not on the list: Synthflow now sells annual enterprise contracts only, which does not suit small builds, and Hume is closing its voice API on 13 November 2026. Enterprise contact-centre vendors such as Sierra, Decagon, Parloa and PolyAI sell to much larger companies than the teams we work with.

Models

The models inside each layer, as of October 2026.

New versions arrive every few months. Because each layer can be swapped on its own, a better or cheaper model is a configuration change and a test run, not a rebuild.

Phone systems and channels

Four ways a call reaches the agent.

Phone minutes are the cheapest part of the bill. Connecting to the phone system you already run is usually the hardest part of the build, so we price it as project work.

Running cost

Estimate the monthly running cost.

All-in per-minute ranges from published prices: platform, transcription, model, voice and phone. They exclude our build and care plan. We confirm the figure from your own call data during the audit.

Stack

Estimated running cost

$450 to $675

a month, for 4,500 minutes

Short outbound calls cost more per minute than this suggests, because some providers bill in whole minutes and answering-machine detection is charged per call.

Latency

What callers hear is slower than the dashboards say.

An independent test placed real phone calls to five hosted platforms and measured the gap from the recordings. None came in under a second at the median, and the platforms’ own dashboards reported about half a second less. We promise about a second, and measure it on your calls.

  • Telnyx 1.30 s median · 1.86 s p95
  • ElevenLabs 1.42 s median · 1.77 s p95
  • Bland 1.52 s median · 2.25 s p95
  • Vapi 1.56 s median · 2.01 s p95
  • Retell 1.74 s median · 2.26 s p95

Testing and monitoring

How we know the agent still works next month.

Voice testing is now its own category of tools: simulated callers, regression suites and per-call scoring. We use the platforms’ built-in tests, open-source LangWatch Scenario, and dedicated tools such as Cekura or Hamming where call volume justifies them.

Where voice agents go wrong, and what we do about it

Cutting the caller offTurn-taking errors, or “uh-huh” treated as an interruption. Audio-based turn detection, and the interrupted-calls review above.
Saying a task worked when it failedThe booking call timed out, but the agent confirms it anyway. The agent waits for the system’s confirmation, and offers a call back or a person if it does not come.
Mishearing numbers and namesPhone audio roughly doubles transcription errors, and long numbers suffer most. Read numbers back in short groups, custom vocabulary for product names, spelling by phonetic alphabet.
Being talked into thingsA caller tries to get a refund or data the agent should not give. Permissions live in your systems, not in the prompt. The agent cannot do what its tools do not allow.
Slow replies at busy timesRate limits and long tool calls cause pauses. A short spoken holding line, timeouts on every tool, and a fallback model.

Rules by region

The law differs by country, but the design is the same.

Say it is an AI in the first sentence, get consent before calling anyone, honour opt-outs however they are worded, and keep card numbers away from the agent. This is how we build; it is not legal advice, and some calls need a lawyer.

United States
  • Since the FCC ruling of February 2024, AI voices count as artificial voices under the TCPA, so outbound AI calls need the same prior consent as robocalls.
  • California requires AI disclosure at the start of automated outbound calls, and Utah requires it when asked or in health and financial calls.
  • Around a dozen states require everyone on a call to agree to recording, so we play a recording notice on every call.
  • Healthcare: every vendor that hears, transcribes or stores patient data needs a business associate agreement (BAA).
European Union
  • The AI Act’s transparency duty has applied since 2 August 2026: people must be told they are speaking to an AI.
  • Recordings and transcripts are personal data under GDPR, and every vendor needs a data processing agreement.
  • Automated marketing calls need prior consent.
United Kingdom
  • PECR bans automated marketing calls without prior, specific consent, and consent passed on by a third party does not count.
  • Since February 2026 the maximum fine is £17.5 million or 4% of global turnover.
  • Service calls such as reminders fall outside that rule but stay under UK GDPR.
India
  • TRAI rules put promotional calls on 140-series numbers and service calls on the 1600 series, with DLT registration and DND checks.
  • The DPDP Rules were notified in November 2025, with the main consent and security duties from 13 May 2027. We build to them now.

How we build it

From recorded calls to an agent your team trusts.

The engineering is the shorter part. Most of the time goes into understanding your calls and testing the agent against them. It follows our usual Audit, Blueprint, Build and Run stages.

  1. 01Map the calls

We listen to recorded calls or read call logs, group them by reason, and write down what good handling looks like for each, including when to hand over.

  2. 02Choose the stack

Platform, transcription, model, voice and phone route, picked for your languages, volume, phone system and where the data has to stay. You get the expected cost per minute in writing.

  3. 03Write the rules

What the agent may say, what it must never do, which questions it asks and in what order, the opening disclosure, and the words it uses for your products.

  4. 04Connect your systems

Calendar, CRM, order system or helpdesk, each through a tool with the narrowest permission that does the job.

  5. 05Test with simulated callers

The regression suite runs until the agent passes, then becomes part of every later change.

  6. 06Launch on part of the traffic

Usually after-hours or overflow calls first. Your team reads the transcripts for the first fortnight before it takes more.

FAQ

Questions about voice agents.

What is an AI voice agent?

Software that answers or makes phone and web calls in a natural voice. It transcribes what the caller says, uses a language model to decide what to do, takes actions in your systems such as booking an appointment, and replies in a generated voice, in real time.

Will callers know they are talking to an AI?

Yes. Our agents say so in the first sentence. In the EU this has been a legal duty since 2 August 2026, and several US states require it too. Anyone who wants a person can ask for one.

How fast does it reply?

Expect about a second between the caller finishing and the agent speaking. Independent tests of hosted platforms on real phone calls measured 1.3 to 1.7 seconds at the median, and platform dashboards understated that by about half a second. We measure it from your call recordings and tune it before launch.

Which platform do you use?

It depends on the job. Retell suits most small-business phone lines, ElevenLabs is strongest for voice quality, languages and WhatsApp, Telnyx is the lowest cost for US lines, and LiveKit or Pipecat suit existing phone systems, data residency and high volume. Our live demos run on ElevenLabs. We choose after the audit and tell you why in writing.

Can it use our existing phone number?

Usually. We can forward calls from your number, connect your phone system over SIP, or set up a new number. Microsoft Teams needs Direct Routing, and 3CX needs a SIP bridge, which we build.

What does it cost to run?

Running costs are per minute and usually come to $0.06 to $0.20 a minute all-in, depending on the platform, model and voice. Speech-to-speech on OpenAI’s flagship costs more, around $0.35 to $0.45. The estimator on this page gives a monthly figure, and we confirm it from your own call volumes before you commit.

What happens when the agent cannot help?

It hands over. The call is transferred to a person or team, or a call back is booked, and a written summary goes with it. You decide the rules for when that happens.

Can it take payments?

Not by voice. Reading card numbers to an AI brings the whole call into PCI DSS scope, so the agent sends a secure payment link by text or email, or hands over to a masked keypad capture.

Can it make outbound sales calls?

Only to people who have agreed to be called. In the US, AI voices fall under the TCPA’s robocall consent rules, and in the UK automated marketing calls need prior, specific consent. We build call-backs to enquiries, reminders and follow-ups, with a consent record and opt-out.

What if the platform we choose shuts down or changes price?

It happens: in the last year one voice provider closed after an acquisition and another is ending its voice API. We keep your prompts, knowledge, tests and integrations in your accounts and in a form that moves between platforms, so switching is a project of days, not a rebuild.

How long does it take to build?

Our builds usually go live in 2 to 8 weeks. One call type with one calendar or CRM sits at the short end; several call types, languages and systems take longer. The audit gives a fixed date and price.

Can I try one first?

Yes. The live demos let you talk to a clinic receptionist and a lead qualifier in your browser, and Ava, our site concierge, is in the corner of this page.
